Below, you will find a list of Duke Summer Session for High School Students’ policies for 2019.  This page is intended to be a resource for prospective and incoming participants who would like to understand more about what our programs entail.  It can, moreover, serve as a reference for individuals who would like to learn more about a particular policy.

Supervision Policies

At Duke Summer Session for High School Students, each participant’s safety is our utmost concern. We abide by the Policy for Minors in Duke University Programs by having a 10:1 participant to residential staff ratio and 24/7 supervision of participants both on and off campus. To ensure participants have access to the wide variety of resource Duke University offers, the programs will place staff members in various places throughout campus to ensure they can access an array of Duke facilities while supervised.  Staff members will accompany participants from one location to the next to ensure supervision is maintained.  Participants are expected to be in their residence halls from the end of the evening activity until the following morning.   

Participants are only allowed to leave campus when accompanied by a staff member to a predetermined program event/activity, or when the participant’s parent/guardian accompanies them or has properly completed the Visitor Authorization Form and has given permission for a person 21 years of age or older to accompany the participant off campus.

Admission Process Policies

Selection Criteria

Our application-reviewing process takes all aspects of an applicant’s application into account. One aspect is not weighed more than the other, with those admitted into our programs being well-rounded individuals with a history of academic success.

English Proficiency

Due to the fact that students in Summer College for High School Students are enrolled in a credit-bearing Duke University course, they are required to meet Duke University Summer Session’s English Proficiency requirement. International students for whom English is not their first language are required to have a minimum TOEFL score of 95, IELTS score of 7.0, or pass Duke’s EIS exam. Participation Policies

The following policies are designed to provide a safe and comfortable environment for participants attending one of our Summer Session programs.  While reviewing the policies, please keep in mind that our goal is to duplicate college life to the extent that we are able, given that the majority of our participants are under the age of 18.  Duke may differ from that to which participants are accustomed as we are required to supervise participants on a 24/7 basis.  Participants must be sure they are able to fully commit to the program and adhere to the program expectations.  Should a participant be unable to adhere to the policies and subsequently be dismissed from the program, the participant will be required to depart from the site within 24 hours. Program fees will not be refunded to dismissed participants.

Duke University Community Standard

Duke University is a community of scholars and learners, committed to the principles of honesty, trustworthiness, fairness, and respect for others. Participants share with faculty and staff the responsibility for promoting a climate of integrity. As citizens of this community, participants are expected to adhere to these fundamental values at all times, in both their academic and non-academic endeavors. Please carefully review the Duke Community Standard as participants are required to adhere to all aspects of this standard while enrolled in the Summer Session Program. Should an alleged violation of the Duke Community Standard by a participant occur, a programmatic investigation will take place.

Smoking/Vaping Policy

In accordance with North Carolina state law, anyone under the age of 18 is not allowed to purchase tobacco products.
Participants must adhere to the Duke University Smoking Policy found here:  http://policies.duke.edu/students/universitywide/smoking.php.

Duke Laboratory Policy

Summer Session participants may have the opportunity to participate in activities in Duke University Laboratories. Participants under the age of 18 who may do work in a Duke Laboratory and their parent/guardian must sign the Participation Agreement for Minors in Duke Laboratories, which is located in the appendix of the Participation Agreement all participants are required to sign.

Photographic and Video Permission Policy

Photographs or video of participants taken during the program, writings, and other participant or staff work produced during the program may be used in perpetuity in Duke products, publications, web sites, and/or social media channels (e.g. Facebook or YouTube).

Program Evaluations

Participants, parents, and staff will complete questionnaires and other requests for information as part of program evaluations. This feedback is used to help Duke Summer Session for High School Students to continually improve its programs.

Digital Citizenship Policies

It is important to Duke Summer Session that participants use digital devices, platforms, and resources responsibly.  We expect participants to adhere to the following guidelines: 

  • We allow the utilization of electronic devices including iPads, tablets, and laptops for all staff and participants. We require participants to have a cell phone with smartphone capabilities. Please note that Duke Summer Session is not responsible for any lost, damaged, or stolen items.
  • We expect participants to act with respect towards themselves and others both non-digitally and digitally. Individuals are responsible for their own actions at all times. 
  • In our efforts to create a safe, supportive, and respectful community, you must refrain from profanity, teasing, harassment, and bullying whether in person or on social media. Cyber-bullying and cyber-stalking are expressly prohibited.
  • Participants will not share information about the date, time, or location of future events on public social media platforms with people outside the program.
  • Summer Session’s communication plan is to notify participants of emergencies and send out non-emergency reminders through a group WeChat account and through the Guidebook app. Participants are required to bring a phone that will work in the United States, has the WeChat and Guidebook app loaded, and can access Wi-Fi at all times. 
  • Publicly posted items on social media may be utilized when making disciplinary decisions about participants.

Federal Education Rights and Privacy Act (FERPA) 

The Family Educational Rights and Privacy Act (FERPA) affords certain rights to participants concerning the privacy of, and access to, their education records. By signing the Participation Agreement, all participants consent to and authorize Duke to release the below information to other (1) educational institutions which have a role in the program, (2) service providers who help Duke to deliver the program, (3) a participant’s home education institution (if the participant is not a full-time Duke participant), and (4) a parent/guardian: 

  • Academic information (grades/GPA, registration, Participant ID number, academic progress, enrollment status). 
  • Information related to travel (flights, hotels, itineraries). 
  • Information related to the participant’s conduct, physical/emotional condition and well-being, or experiences while participating in the program. 

This consent is in effect from the time the participant signs the Participation Agreement to the conclusion of the participant’s participation in the program, including without limitation any investigation or proceeding that might arise out of the participant’s participations in the program, such as matters arising out of participant medical conditions, alleged assault, or academic dishonesty. Participation in the program is voluntary and not required. Participants are not eligible to participate in the program if they do not provide this FERPA consent and authorization.

Sexual Harassment Policy

Duke University does not tolerate any form of harassment.  Below are the definitions of harassment, sexual harassment, and sexual violence. Additional information will be provided at participant orientation:

Harassment Definition: Harassment is unwelcome verbal or physical conduct based on race, color, religion, national origin, sex, gender identity, gender expression, sexual orientation, age, or disability that, because of its severity, persistence, and/or pervasiveness, creates a hostile environment by interfering significantly with an individual’s work or education, or adversely affecting an individual’s living conditions.

Sexual Harassment Definition: Sex- or gender-based harassment may take two forms:

One form of harassment is unwelcome verbal or physical conduct based on sex that, because of its severity, persistence, and/or pervasiveness, creates a hostile environment by interfering significantly with an individual’s work or education, or adversely affecting an individual’s living conditions.

The other form of harassment is use of a position of authority to engage in unwelcome sexual advances, requests for sexual favors, or other verbal or physical conduct of a sexual nature when:

  • submission to such conduct is explicitly or implicitly made a term or condition of an individual’s education; or
  • submission to or rejection of such conduct is used as a basis for decisions affecting an individual’s education.

Sexual Violence Definition: Sexual violence is a particularly severe form of harassment defined as any physical act of a sexual nature based on sex and perpetrated against an individual without consent or when an individual is unable to freely give consent. 

Physical acts of a sexual nature include, but are not limited to, touching or attempted touching of an unwilling person’s breasts, buttocks, inner thighs, groin, or genitalia, either directly or indirectly; and/or sexual penetration (however slight) of another person’s oral, anal, or genital opening with any body part or object.

Behavioral Expectations

Duke Summer Session participants are members of the Duke University community and have certain rights and responsibilities. They are expected to have the highest standards of conduct. We expect participants to behave as responsible young adults, taking personal responsibility for their behavior, behaving in a trustworthy and safe manner, and making decisions that will enhance their experience and the experience of those around them.

Dismissal from Duke Summer Session

Although we do not desire for any participant to be dismissed from Summer Session, we will dismiss a participant from the program should their behavior warrant this decision. Dismissal decisions will be made by the Dean of Summer Session after conferring with the appropriate Duke University officials. Staff members at the program site do not have the authority to make these decisions.
If a participant engages in the following actions on or off campus, they will be immediately dismissed from Duke Summer Session:

  • failure to sleep in assigned sleeping quarters each night.
  • possession, sale, or use of alcohol or illegal drugs as evidenced by observation, behaviors, social media sites, video, photographs, or other forms of documentation.
  • possession or use of weapons of any kind. 

If a participant engages in the following actions on or off campus, they may be dismissed from Duke Summer Session:

  • academic or social dishonesty (examples include but are not limited to copying, plagiarism, theft, pranks, and bullying).
  • tampering with fire alarms, fire extinguishers, or hoses.
  • damage to Duke University’s facilities or other facilities that the program visits. 
  • risky, damaging, disruptive, or uncontrolled behavior that endangers a participant’s safety or the safety of others.
  • physical altercation with another person, whether initiating the behavior or as a response behavior.
  • visiting an individual of the opposite gender, or having visitors of the opposite gender, in a residence hall room.
  • sharing prescribed medication.
  • interaction of a sexual nature or sexually suggestive manner with any other person, including faculty, staff, or program participants.
  • use of matches, lighters, candles, fireworks, or any other incendiary device in Duke University buildings.
  • any form of verbal or physical harassment. 
  • failure to comply with participation policies.
  • non-adherence to the Duke Smoking policy: http://policies.duke.edu/students/universitywide/smoking.php .

If a participant is dismissed from Duke Summer Session, he or she will be responsible for all associated costs, including program costs, travel-related costs, and any damages resulting from prohibited behaviors. The dismissed participant will be required to depart from campus within 24 hours of the time he or she is dismissed from Duke Summer Session.
Dismissal from Duke Summer Session results in withdrawal from whatever course/program the participant was attending. 

  • For Summer College, this constitutes withdrawal from Duke University. The dismissed student will not be allowed to attend class as a commuter student for the remainder of the summer term. The dismissed student’s class transcript will reflect a withdrawal from the class via a “W” on their transcript.
  • For Summer Academy and Accelerated STEM Academy, dismissed participants will be withdrawn from their course or program and will not be allowed to attend the course or program as a commuter participant.

Safety and Emergency Policies

Campus Safety

Duke Summer Session works closely with the Duke University Campus Police Department to ensure the safety of our participants. Campus Police speak with administration and staff during their orientation to inform them of proper procedures for promoting safety on campus. Duke Summer Session adheres to Duke Campus Police’s guidelines and follows emergency alerts provided by the DukeALERT mass notification system. 
Under the federal Campus Security Act (20 U.S.C. 1092f), prospective participants may obtain a copy of the University’s annual security report by visiting the Duke University Police Department at 502 Oregon Street, Durham, NC or by calling +1(919) 684-4602. This report includes campus crime statistics and the University’s safety and security policies.

Emergency Policy

In case of a campus-wide emergency, Duke Summer Session will adhere to the guidance of the DukeALERT system and Duke University Campus Police in order to respond effectively. Non-Medical Emergency

Participants may experience a non-medical emergency during their time at Duke. Non-medical emergencies may include a situation that takes place at home or the death or injury of a relative. Due to the broad nature of these types of emergencies, we cannot tell you how to react in every possible situation. 

Losses or Damages

Participants and staff members understand that Duke University and Duke University Summer Session are not responsible for items that are lost, damaged, or stolen and the participant is responsible for his/her own possessions.  Participants agree to accept personal responsibility for expenses incurred during the program for lost or damaged keys and cards and damages to University property.  For participants, damages to residence hall rooms will be divided equally among roommates if one roommate does not claim responsibility for damages.  Duke Summer Session recommends that participants and staff members not be in possession of valuable equipment or merchandise during the program.  Should a participant or staff member wish to bring valuable equipment or merchandise, Duke Summer Session recommends that this property be insured against loss, theft, and/or damages.

Lost Keys

If a staff member or participant loses their room key, they must report the loss immediately to a member of the Summer Session staff. Participants will be required to pay the rekeying fee.  Additionally, participants who do not return their room key prior to their departure will be charged the rekeying fee.  In 2018, this fee was $125 and may be subject to change in 2019. We cannot accept keys mailed back to the program, as the locks will be rekeyed the day following completion of the program.

Lost Cards

Summer Session staff members and participants must have their Duke ID or Conference Card on them at all times. If a staff member or participant loses their Duke ID or Conference Card, he or she must contact the On-Site Office immediately, who will then contact the Duke Card office or Duke Conference and Event Services to cancel the card and issue a new one.

Visitation and Off-Campus Travel Policy

Participants must remain on Duke’s campus at all times, and visitors who are not a part of the Duke community may not come to campus to visit participants, except under the following conditions:

  • Participants may travel off campus when accompanied by a Summer Session staff member.
  • Participants may travel off campus for a limited period of time when chaperoned by their parent or guardian. 
  • Parents or guardians may visit their children while on campus, but may not be in the residence hall except in the general office area.
  • Participants may travel off campus for a limited period of time when chaperoned by an individual 21 or older whom their parent or guardian has authorized by filling out the Visitor Authorization Form.
  • Participants may not invite, accept, or allow anyone other than Duke Summer Session participants or staff members in the dorms or residential areas. 
  • Participants may invite and accept for a campus visit to areas other than dorms and residential areas individuals 21 and over, or individuals under 21 accompanied by an authorized visitor or parent/guardian, who are not a regular part of Duke Summer Session’s regular on-campus community for a limited period of time.  In this event, the parent or guardian will need to authorize the date and time on which the visitor may visit the participant on campus by filling out and signing the Visitor Authorization Form.

Before an authorized individual visits a participant on campus or takes a participant off campus, the person must:

  • Provide advanced notice, absent an emergency of the date and start/end times when the person intends to visit or take the participant off campus.  This time must correspond with the timeframe provided and authorized by the participant’s parent or guardian on the Visitor Authorization Form.
  • Show photo identification to a program administrator that demonstrates the person is a participant’s parent, guardian, or individual whom the participant’s parents have authorized to visit the participant and is over 21 years of age.
  • Sign themselves in and out when visiting participant on campus, and sign the participant in and out when taking the participant off campus.

Arrival Policies

All participants must be checked into Duke Summer Session on arrival day by a parent/guardian unless the parent/guardian has signed the form via CampDoc.com authorizing the participant to arrive on their own and check themselves into the program on arrival day.  If accompanied by a parent/guardian, or authorized individual, a photo ID will be needed to complete check-in.  Please review and follow the information below for each mode of transportation:

Arrival by Car

Participants who are arriving by car are expected to arrive within the designated arrival window found on the program’s website and preliminary emails.  Participants who drive their car to the program must receive authorization from their parent/guardian to do so, purchase a parking pass (they can do so here: https://parking.duke.edu/parking/permits), and leave their keys with the On-Site Office for the duration of the program.  Participants will not be permitted to use their car during the program except for arrival and departure.

Arrival by Airplane, Bus, or Train

If a participant will arrive by airplane, bus, or train without the company of a parent/guardian, they must receive signed authorization from their parent/guardian to do so. We provide participants with complimentary ground transportation from local transportation center(s) to the program’s designated check-in area on Duke University’s campus.  For this reason, we require all participants to provide us with their travel information before arrival.

Departure Policies

All participants need to be checked out on departure day.  Please review and follow the instructions for each mode of transportation for departure day. 

Departure by Car

Participants departing by car must depart during the designated departure window found on the program’s website and program emails. The parent/guardian will need to accompany the participant to the designated check-out area where they will check out the participant.  If the participant is being checked out by an individual other their parent/guardian, their parent/guardian must fill out a Visitor Authorization Form, giving permission to whoever is picking up the participant. If a participant is driving home unaccompanied, they must receive permission from their parent/guardian to do so via a signed authorization form found on CampDoc.com. A photo ID is required to complete the check-out process.

Departure by Airplane, Bus, or Train

Participants who will be departing by airplane or other mode of transportation will need to be checked out by their parent/guardian via a form on CampDoc.com authorizing them to be dropped off at the transportation center. Duke Summer Session provides participants with complimentary transportation to Raleigh-Durham International Airport (RDU) and other local transportation centers. For this reason, we require all participants to provide us with their travel information in a timely manner.

Medical Policies

The Duke University Student Health Center

Summer Session participants will not use the Student Health Center or Duke’s Counseling and Psychological Services (CAPS). Should a participant need medical attention, we will transport them to a local clinic, urgent care, or hospital emergency room, and a staff member will remain with them at all times. Staff members will transport participants to/from medical facilities, but they will not participate in medical decisions of any kind.

Medication Policy

  • Our program Medical Coordinator will be responsible for holding participant medications. All medication will be kept under lock and key and must be kept in its original bottle with its original label. The Medical Coordinator will distribute medications to participants from 7:00 a.m. to 11:00 p.m. If a participant needs to take medication outside of these hours, he or she will be able to do so by contacting an on-call medical staff member.
  • Participants are responsible for remembering to take and administer their own medications. 
  • Duke Summer Session staff will not administer medication to a participant. 
  • Participants will be allowed to carry emergency medications with them at all times. Parents/guardians will need to verify which medications should be classified as “emergency medications” and are approved to be carried by participants. Participants should bring duplicates of any emergency medication and bring a prescription for the medication should they need to refill it during the program.
  • Participants should notify Duke Summer Session if their medication requires refrigeration. If the medication that needs to be refrigerated is an emergency medication held by the participant, the participant will be responsible for the costs, if any, associated with refrigeration. 

Medical Information

  • Our medical forms will be made accessible via the CampDoc.com platform. Participants will not be allowed to participate in our programs without a complete medical form.
  • If a participant has particular dietary restrictions or preferences, our residential staff will work with that participant to help identify ways of managing their dietary needs. 
  • Participants will not utilize the Duke Student Health Center, but will be taken to an urgent care, Minute Clinic, and/or the emergency room upon request of the parent(s) or in an emergency situation. One staff member will drive the participant and another staff member to the medical facility. The second staff member will remain with the participant and keep in close communication with the on-site office.
  • In order to complete their medical forms, international participants will be required to submit a negative TB test.  
     

Seeking Medical Attention

In the event a participant wishes to seek medical attention, he or she should contact any member of the program staff. Duke staff members do not suggest whether or not a participant should see a physician, but rather the participant will inform the parent of the situation and the parent will make the decision whether to take the participant to urgent care, Minute Clinic, or the hospital emergency room. Duke Summer Session will provide transportation to a participant’s appointment.  The Resident Assistant on medical duty will stay with the participant. 

Health Insurance Portability and Accountability Act (HIPAA)

The HIPAA privacy rule establishes national standards to protect individuals’ medical records and other personal health information and applies to health plans, health care clearinghouse, and those health care providers that conduct certain health care transactions electronically. Duke Summer Session is in accordance with HIPAA and follows the guidelines listed here: https://www.hhs.gov/hipaa/for-professionals/privacy/index.html. 

Medical Expenses

All medical expenses incurred during Summer Session (including during travel to and from the Duke Summer Session site) are solely the responsibility of the participant and the parent/guardian, including if Duke consents to medical evaluation or treatment. Medical expenses customarily will have to be paid in advance by the participant and reimbursed later by the insurance carrier.

Health Insurance

All participants are required to have health insurance that is written by a U.S.-based company. Short-term health insurance is offered by many U.S. companies such as USI Affinity Travel Services (www.travelinsure.com) and is needed to pay for any medical attention participants may need. While travel insurance may assist participants with travel costs in the event of an emergency, it will not satisfy Duke Summer Session’s medical insurance requirement, as many policies do not cover medical bills. Participants will be required to submit proof of U.S.-based health insurance prior to their arrival to campus.

Participant Psychological Health

Should a participant need psychological assistance during the program, the participant will contact the parents. Participants will not use Duke's Counseling & Psychological Services (CAPS), and we do not have a psychologist on site. No Summer Session staff member will engage in psychological counseling with participants. Important Disability-Related Information

Duke University has a reasonable accommodations process through which a parent/guardian can request disability accommodations on behalf of a participant. We encourage parents/guardians to discuss with the Program Director, as early as possible, any potential concerns or modifications that they may need to request for the Participant. Residential Policies

Getting Around Campus and Transportation

Participants will use the Duke Bus System, route C2 East-Central-West, to travel accompanied by a Summer Session staff member between West and East campuses. This bus is free of charge and operates between the hours of 7:00 a.m. and 9:00 p.m. during the summer. Transportation for program-sponsored off-campus events will be arranged by the Summer Session staff which may include the use of public buses. All off-campus activities will have to be approved by the Program Director, Dr. Nicki Charles, and appropriate transportation will be arranged at that time. Participants will not be permitted to use their own vehicle, taxis, ride sharing services (e.g., Uber, Lyft, Wanda Buses), any form of public transportation, or ride in a vehicle that is not a program vehicle operated by a Summer Session staff member. All transportation and planning for Summer Session-sponsored weekend excursions will be arranged by the Summer Session staff. For the Accelerated STEM Academy Commuter Program, participants who drive themselves to the site will not be permitted to use their vehicle during the scheduled program activities.

Rooming Requests

While roommate requests to live with a specific person will not be accommodated, participants do have the option of requesting a single room, particularly for medical reasons.  We will respond to these requests on a case-by-case basis, as we will not be able to accommodate all single room requests.

Participants with severe allergies that prohibit certain items from being in their room will either be placed with another participant with the same allergy or will be placed in a single room, as we cannot ask another participant to be responsible for keeping items such as nuts out of the room.

Participants 18 years and older will either be placed in a room with another participant 18 years and older or in a single room.  University policy does not allow participants 18 years and older to reside in a room with a participant under the age of 18.

Housing Policies

Please take some time to review the Duke University’s Residence Life Policies Page (https://studentaffairs.duke.edu/hdrl/housing-policies).  Housing policies specific to our program can be found below:

  • Duke Summer Session maintains a 10:1 participant to on-site staff ratio.
  • Participants are required to stay in their assigned room with their assigned roommate. 
  • Each residence hall room will be inspected for damage prior to participants’ arrival. Participants are expected to maintain their room and treat all Duke University facilities with the utmost care and respect. If a participant damages any facilities on or off campus, they will be required to pay for any damages caused by their actions.
  • Residence hall entrance doors and fire doors will remain closed and locked at all times. Participants and staff will refrain from propping open doors, even on arrival and departure days.
  • Residence hall room doors will remain locked at all times. 
  • No alterations are allowed to residence hall rooms.
  • Participants will not allow delivery persons into the residence halls and will meet delivery persons at the entrance to the residence halls.
  • Participants will not allow anyone not associated with the Summer Session program entrance to the residence hall.
  • Participants are expected to respect the rights of others at all times. This includes observing appropriate noise levels. Quiet hours begin at 11:00 p.m. in the residence halls and continue to 7:00 a.m.  If a participant experiences any disturbance after this time, they should notify their Resident Assistant or another member of the Summer Session staff.
  • Each individual is responsible for keeping common areas including the kitchenette, restrooms, lounges, stairwells, and hallways free of personal items, trash, and/or recycling.  The job of the housekeeping staff is to maintain a sanitary living environment, not to clean up after our participants.

Monetary Policy

Duke Summer Session staff members cannot hold money for a participant and are not responsible for participants’ finances while they are at Duke. Staff members will not loan participants money, even for the purchase of textbooks.  Participants should not carry large sums of money with them, as Duke Summer Session and Duke University are not responsible for lost or stolen items. Participants are responsible for any meals purchased off campus, including meals during weekend excursions.  We consequently encourage participants to bring a modest amount of money with them, if they so choose.

Optional Worship Services

Participants are not required to attend worship services. Optional worship services are available.  If a participant wishes to attend one, they will need to contact the On-Site Office, which will make its best effort to accommodate each request.

Duke Recreation and Physical Education Centers

Summer College and Summer Academy participants 16 years old and above will have access to Duke University’s Wilson Gym if they complete the following requirements:

  • Complete the Duke Recreation Centers waiver form in CampDoc.com when they submit their medical information by June 1 (Term 1) and June 15 (Term 2). If the form and approved photo are not submitted by the deadline, participants will not be able to access the Duke Recreation Centers as a guest or Rec and PE Member. Under no circumstances will a participant be allowed to add gym access after the deadline.
  • Pay the $74 membership fee with cash or debit card at the Duke Card Office upon arrival to campus. 

 
While at the Recreation Center, participants must comply with the following regulations:

  • Participants are not permitted to use the locker room or pool.
  • Participants who are 16 years old and over may use Wilson Gym only during these designated hours:

Weekdays:  Summer College hours: 10:00 am – 12:30 pm and 1:30 – 4:00 pm 

Gym Club:  Monday – Friday 4:00 – 6:00 pm (Summer College and 

Summer Academy participants may join the gym club.  STEM participants will not have access to the Duke Recreation Centers or Wilson Gym.

Weekends:  Everybody: 10:00 am – 6:00 pm 

Participants are not permitted to enter the Wilson Gym without the presence of a Duke Summer Session for High School Students staff member. Participants are not permitted access to any other Duke Recreation Centers besides the Wilson Gym. Any student who does not comply with Recreation Center policy will have their gym access revoked permanently.  The membership fee will not be refunded. 

Dress Code

Participants and staff are prohibited from wearing clothing that is inappropriate by showing undergarments; displaying offensive graphics or slogans; or promoting illegal activities or paraphernalia.

Prohibited Items

The following items are prohibited for staff and participants of Duke Summer Session for High Schools Students and Duke Summer Session has the right confiscate prohibited items:

  • Microwave
  • Pets of any kind
  • Illegal Drugs and Drug Paraphernalia
  • Weapons / Firearms / Explosives: It is against Duke University policy to possess and/or use a gun, rifle, pistol, or other firearm of any kind, or any powerful explosion on Duke University property. Additionally, other than when permitted by the Vice President for Student Affairs (or their designee) for legitimate educational purposes, participants and staff are not permitted to possess and/or use on campus any weapon, including but not limited to mace, pepper spray, BB gun, taser, paintball gun, potato gun, realistic-looking toy gun, air rifle, air pistol, sword, bowie knife, dagger, slingshot, switchblade knife, blackjack, and metallic knuckles.

Academic Policies

Absence from class

Participants must be present on the first day of class. Any deviation from this expectation or absences from class during the program must be negotiated directly with the Program Director, Dr. Nicki Charles. Participants with multiple absences from class risk not receiving academic credit or a participation certificate and potentially being dismissed from the program.

Transcript Policy

Failure to return all materials borrowed from the Duke University library system or pay late fees or lost item fees before the end of the program will prevent a Summer College participant from receiving their transcript until the student’s balance is paid. Summer Academy and Accelerated STEM Academy will receive a certificate and do not receive a transcript.

Academic Reports (ARs)

Duke Summer Session has a system for tracking the support that Summer College students need in their Duke University classes. These are to be completed by every Friday with the student’s Resident Assistant in order to inform the Duke Summer Session Academic Coordinators and Assistant Academic Coordinators as to how they can better support each Summer College student.

Children's Online Privacy Protection Act (COPPA)

Protecting your privacy is important to us. Duke Continuing Studies is committed to protecting the privacy rights of any child and specifically those rights established by the U.S. Federal Trade Commission as defined in the Children’s Online Privacy Protection Act (COPPA). By using this site, you agree to comply with the terms of this policy. We reserve the right to modify the terms of this policy to meet customer concerns and changes in the law.

Through our web site registration system, we collect information from parents and legal guardians who choose to register their child in the camps that target students who are under the age of 13. We require parental/legal guardian consent to certify that Duke Continuing Studies has permission to collect/save the personally identifiable and non-personal information. Duke Continuing Studies will not collect/save data from children under the age of 13 without the express consent of the child’s parent(s) or legal guardian(s).

Duke Continuing Studies collects two types of information at our site: personally identifiable information and non-personally identifiable information. Personally identifiable information includes first and last name, street address, phone numbers, email addresses, financial information for the purposes of billing and payment, and credit card information for payment. Non-personally identifiable information includes sex, the name of the school the student attends, birthdate, grade in school, and parent/guardian name. The Registration Team of Duke Continuing Studies uses the information to process registration transactions and for billing purposes. Program staff uses this information for educational and residential program processing and to send parents and program participants information about additional programs that Duke Continuing Studies offer. Non-personally identifiable information that we collect might be used for research and marketing purposes.

Duke Continuing Studies does not share or distribute any personally identifiable information about participants or their families with external organizations. Duke Continuing Studies may disclose the personal information we collect in order to comply with the law, a judicial proceeding, court order, subpoena, or other legal process.

To review any information about your child, please contact Duke Continuing Studies at the address listed below. If you do not want Duke Continuing Studies or a specific program to release your information or if you wish to have your information removed from our database, you must notify Duke Continuing Studies in writing of your request.

We reserve the right to modify the terms of this policy to meet customer concerns and changes in the law. Summer Session for High School Students Privacy Policy

The Duke University Summer College for High School Students and the Duke University Summer Academy for High School Students are committed to protecting your privacy. By using this site and the services connected to it, you agree to comply with the terms of this policy. To better meet user concerns or changes in the law, we reserve the right to modify the terms of our privacy policy.  Continued use of the site constitutes acceptance of the revised policy.

Through our application and registration systems we collect information from students and their parents or legal guardians. We collect the following information from users:

  • first and last name;
  • nationality/citizenship;
  • gender (as displayed on your birth certificate);
  • age;
  • mailing address;
  • email address;
  • phone number;
  • school;
  • school address and phone number; and
  • emergency contact information (first and last name, mailing address, email address, phone number).

In the case of Summer College for High School Students, we also collect students’ social security numbers (U.S.A. citizens and permanent residents only) in order to create their record with Duke University. Only staff responsible for admitting and creating the Duke University student record have access to this information. 

Duke Summer Session follows the guidelines published by the Duke University Registrar’s Office and its compliance with the Family Educational Rights and Privacy Act (FERPA). See Student Records

Information collected is used by program staff to register students in programs and courses and to market opportunities at Duke to students and parents. Duke Summer Session does not share collected information with third parties.

Duke Continuing Studies and Summer Session has in place commercially reasonable measures to protect the security of the information you provide on our website. However, no system is without a minimal amount of risk.
